# One-off events

> Add a one-off session or special event on a specific date outside your regular schedule - quick add from the calendar, or add several dates.

Who can do this: admins only.

A one-off is a session on a specific date that doesn't repeat - a workshop, a talk or a guest event. It can have its own name, image, price, capacity and duration. For weekly sessions, see [repeat schedules](/docs/repeat-schedules).

## Quick add a session from the calendar

<Steps>
<Step>Open the [Sessions](/go/admin/sessions) page in the **Week** view (or **Day**, if you run multiple locations).</Step>
<Step>Double-click an empty time slot, or drag down the column to set the length. On a phone or tablet, press and hold the slot. You can also click **Add session** at the top, choose **New time** and pick the date.</Step>
<Step>Check the time and duration, pick the **session type** and, if you have more than one location, the location. Click **Add session**.</Step>
</Steps>

A quick-added session is a one-off on the session type you pick, so it inherits that type's prices, capacity, add-ons and waiver. You can't add a session in the past. For a new kind of session, choose **New session type** (or **More options**) to open the full editor. It opens with what you'd picked: the time as a one-off date, or as a weekly schedule on the days you chose if you ticked **Repeat weekly**, at the location you picked.

To add a weekly slot instead, tick **Repeat weekly** before you click Add, then tick any other days it runs on - Mon to Fri at 07:00 is one drag. It repeats from the week you're looking at (or today, if that's later) with no end date, bookable as far ahead as your [booking window](/docs/booking-window) allows. A day that already has that time is left as it is, and the confirmation says so. A time that ran earlier in the year and has since ended doesn't count, so you can add it back from a later week. The new days join the weekly schedule that's already running when they can, so they show in the same card in the session's Schedule tab; added from a later week, they start their own from that week. For every two weeks or an end date, use the full editor.

## Add more dates to an event

In the full editor, the **One-off dates** card in the Schedule section lists each date with its times.

<Steps>
<Step>Select **Add a date**, set the **Date**, **Start time** and **Length**, and select **Add**. The next date you add starts the day after your latest one, at the same time and length.</Step>
<Step>For another time on the same day, select **Add** on that date's row.</Step>
<Step>To repeat a date's times on other dates, select its copy icon, pick the dates on the calendar and select **Copy**.</Step>
</Steps>

For a day of sessions back to back, or with a cleaning gap, select **Add a range** when adding a date - set the **Gap between** and the **Last start**, and the panel says how many sessions it will add. Times the date already has are skipped. On a session with [lengths](/docs/session-lengths), set **Every** instead of a gap; the starts show as one chip, such as "09:00 → 16:30 every 45m", and you select it to change them all.

Past dates are collapsed under a "N past dates" link.

## Choose when bookings open

By default a one-off is bookable as soon as you publish it. To keep it off the booking page until nearer the time:

<Steps>
<Step>In the **One-off dates** card, select the date's time, then **Edit** on the line that starts "Bookable".</Step>
<Step>Choose **Open bookings nearer the date**, set how many days ahead customers can book, select **Done** and save.</Step>
</Steps>

The date stays off the booking page until it's within that window, and members with [early access](/docs/booking-window#give-members-early-access) see it that many days sooner. The same panel holds the **Bookings close** choice - see [when bookings close](/docs/booking-window#when-bookings-close). You can share the event's link before bookings open; visitors see the details with "Not open for booking yet".

To pin an event to the top of your booking page, see [session visibility](/docs/session-visibility).

## Replace a regular session with a one-off

When your one-off clashes with a slot your repeat schedule covers:

<Steps>
<Step>On the admin calendar, open the regular session on that date and [cancel that occurrence](/docs/instance-overrides#cancel-a-single-occurrence). This refunds or credits its bookings and emails those customers.</Step>
<Step>Add the one-off at the same date and time, and save.</Step>
</Steps>

The cancellation email doesn't say what's happening instead, so invite your regulars to the new event yourself.

When you save a session that overlaps another at the same location and time, a banner at the top of the [Sessions](/go/admin/sessions) page links to both. Choose "Don't warn me about clashes" to mute these for your account only.

## Troubleshooting

1. **My one-off and a regular session both appear on the same day.** The recurring date still exists. Cancel it from the clash banner that appears after you save.

2. **My one-off isn't on the booking page.** If its line in the Schedule section reads "Bookable N days ahead", it appears once it's within that many days. Choose **As soon as it's published** to show it now.

3. **The button says "New session type", not "Add session".** You haven't created a session type yet. Create your first type and the button becomes **Add session**.

4. **I cancelled a one-off - can I get its bookings back?** No. Reinstating the date reopens it for new bookings, but cancelled customers were already refunded and need to rebook.

5. **I cancelled a one-off but its time is still in the Schedule tab.** Cancelled dates stay in the list so you can reinstate them. They show struck through with "Cancelled", and customers can't see or book them.
