# Waivers

> Collect digital waivers at checkout, verify them at check-in, and share per-guest signing by QR.

Who can do this: admins only.

Collect a signed waiver from the booker, or one from every visitor, before they arrive. Session keeps an audit trail (who signed, when, from which IP, and which version), and returning customers don't sign again unless you change the terms or ask every booking.

## Create a waiver

<Steps>
<Step>In [Settings → Policies](/go/admin/settings/policies), find Waivers and click **Create waiver** (or edit the existing one). A link in the waiver text, such as your house rules, opens in a new tab so the customer keeps their place in the booking.</Step>
<Step>Pick an agreement method: **Checkbox** (the visitor ticks a box) or **Signature** (they draw it). If your insurer wants each statement ticked on its own, add them under **Statements to tick separately**.</Step>
<Step>Pick **How often customers agree**: **Once** (returning customers aren't asked again until you change the waiver) or **Every booking**.</Step>
<Step>Pick who signs: **Booker signs for everyone**, or **Each visitor signs**, where the booker signs at checkout as visitor 1 and everyone else signs via a shareable link or QR code.</Step>
<Step>Save. A new waiver is your **Default waiver** straight away, applying everywhere. Only one waiver can be the default, so turn the switch off before saving if you're still drafting or it's only for one location or session type.</Step>
</Steps>

The Waivers list's **Used for** column shows a green `Default` badge and the name of any location or session type using each waiver. To change the default, turn on **Default waiver** on another one. You can only delete (bin icon) a waiver that nothing uses and nobody has agreed to; a signed waiver is kept as a record.

## Ask for an emergency contact or photo consent

In the waiver's **Questions** section, turn on **Emergency contact** (name and phone) or **Photo and social media consent** (yes or no - a no never stops anyone booking). With **Booker signs for everyone** the person booking answers for their group; with **Each visitor signs** everyone answers for themselves.

Open a booking to see the answers and tap to call the emergency contact. Use **Edit answers** to correct them or record someone changing their mind about photos. A camera icon on your check-in list marks anyone who said no to photos.

## Use a different waiver for some sessions

Session picks the waiver for each booking in this order, and the first one set wins:

1. **The session type's waiver**, set in the session's **Messages** section in [Sessions](/go/admin/sessions). It follows the session wherever it runs.
2. **The location's waiver**, set under Waiver for the location in [Settings → Company](/go/admin/settings/company).
3. **Your default waiver**.

"Use the venue default" inherits and names what it falls back to. A session at two locations with different waivers shows "Varies by location".

## Write a good waiver

Session doesn't give legal advice: check your terms with a lawyer or insurer. Keep it short and list the conditions that rule someone out, like pregnancy.

Changing the **wording**, **statements** or **questions** of a live waiver bumps its version, and returning visitors sign the new version on their next booking. Your [data export](/docs/data-export) holds each version's wording beside the signatures, except older versions of waivers edited before Session kept them. Title, summary, signing mode and formatting edits don't re-prompt anyone.

Photo consent written into the waiver text, so customers must accept it to book, isn't valid consent under GDPR - use the photo consent question.

## How customers sign

With one per visitor and more than one visitor, Session shows a signing link on the confirmation page, in the confirmation email and in the booking details. While anyone still has to sign, **Copy waiver link** copies that link. Each visitor types their name and optionally their email, then signs. A visitor who adds their email is saved to your customer list under the name they signed with and won't be asked again; one who leaves it blank is recorded on that booking only.

## Checking multi-visitor signatures on the day

Open a booking at the door to see its progress, for example "2 of 4 signed", with a row per visitor. Anyone still **Awaiting signature** can sign there and then:

- **QR code**: they scan it from your phone or tablet and sign on their own device.
- **Open here**: pull the waiver up on your device and hand it over.
- **Add customer**: attribute the slot to an existing customer. If they've agreed the current waiver it reuses that; otherwise it records a staff attestation. Nobody already on the booking can sign again with the same email.

To take someone off, click the **x** next to their name. Their slot goes back to **Awaiting signature**. You can remove anyone except the booker before the session starts. After it starts, only visitors you added yourself can be removed, because everyone else's signature is kept as a record.

Single-signature waivers and one-space bookings don't show this panel.

## Common questions

1. **A returning customer was asked to sign again. Why?** You edited the wording, it asks every booking, or Session couldn't match them. Guests are matched by the email on their booking, so a different or blank email isn't recognised.

2. **A customer signed the wrong waiver. Why?** Check what the session resolves to in its **Messages** section. Setting a waiver on the session type is the surest fix.

3. **Can I run without a waiver?** Yes. Edit your default waiver, turn off **Default waiver** and save. Customers then sign nothing unless a location or session type uses a waiver.

4. **A signing link was shared somewhere it shouldn't be. What do I do?** Open the booking's **More** menu. **Regenerate link** stops the old link and gives you a new one; **Revoke link** stops it without a replacement.

5. **I can't reduce the spaces because everyone has signed.** You can't have fewer spaces than signatures. In the booking's waiver section, click the **x** next to whoever isn't coming, then choose **Edit booking → Edit quantity**.
