Move a session time

Move a repeating session's start time or length without cancelling anyone's booking, and choose how customers are told and what they can do if the new time doesn't suit.

Need to shift a session by a few minutes, or make it shorter? Change the time in your repeat schedule, or on a single date in the calendar, and the sessions move with their bookings. Nothing is cancelled.

  1. 1
Open the session from Sessions and go to Schedule.
  2. 2
Select the time, change its start or length, and save.
  3. 3
If any of its upcoming dates are booked, choose how to tell customers, then select Move and save.

What counts as a move

  • A start that moves up to an hour on the same day, such as 09:55 to 10:00.
  • A change to a time's length, such as 70 minutes to 65.

When every time on a day moves together, each booking goes to the time that replaced its own. A start that moves more than an hour or to another day is a new time, and dates booked at the old start are cancelled after you confirm. So is a day where you remove one time and add an unrelated one.

A date you gave its own time stays where it is. Sessions that have started never move.

What customers get

  • Email customers the new time emails everyone booked, with the subject "Your session time has changed - please read". It says how much earlier or later the session now starts, the new start and end, and the old time, with an updated calendar invite. Add a message to customers to explain why or give instructions. It's ticked to start with. Untick it to tell people yourself.
  • If the new time doesn't suit, customers can cancel for a full refund, cancel for full credit, or cancel under your usual cancellation policy. The first two let them cancel from their booking until the session starts, even if you normally don't allow customers to cancel. Removing spaces stays on your usual policy.

If someone paid you directly, by cash or card reader, and cancels for a full refund, nothing is refunded online. They're told you'll refund them, and your cancellation alert asks you to.

Common questions

  1. Can I move a single date instead? Yes - open that date from the calendar and change its time. Choose This event only or This and following events, and you get the same choices about emails and cancelling. See changing one date.

  2. Does this work for one-off dates or sessions with lengths? Not yet. Changing a one-off date's time, or a start on a session with lengths, still replaces it.

  3. Can I move times from a later date? Use Change times from a date in the repeat schedule. Times you change there are replaced, so their bookings are cancelled. To move a time from today on, change it in the current schedule.
